The Quarterly Roadmap gives you one timeline for quarterly planning across your organisation. See when each collection is planning and delivering, adjust planning periods directly on the timeline, create future planning periods before a board exists, assign backlog work to them early, and turn them into full planning boards when execution begins.
In SAFe environments, these planning periods are typically called Program Increments (PIs). Kendis uses PI and PI Board as the default terminology, while super admins can change these names to match how your organisation plans.
Terminology in this guide. The product is called Quarterly Roadmap by default. Kendis uses PI for a planning period and PI Board for its planning board. These are common SAFe terms, but a super admin can rename them to match your organisation, for example Quarter, Increment, Planning Cycle, or another internal term. Because the UI uses the configured terminology, your screens may differ from the examples in this guide. See Settings: terminology.
Contents
1. Before you start
Term | Meaning |
Collection | An ART, program, department or any other collection in Kendis. Each row on the organisation view is one collection. |
Collection type | The category a collection belongs to (for example ART, Program, Department). The organisation view groups collections by type. Collections without a type appear under No type. |
Planning period / PI | A defined planning period with a start and end date. In Kendis, the default name is PI. A PI on the roadmap is either connected to a PI Board or exists as a future PI. |
PI Board | The planning board connected to a PI. It contains teams, sprints and planned items. Its roadmap bar shows the board state, such as Draft, Planning, Tracking or Closed. |
Future PI | A future planning period that has been placed on the roadmap but does not have a board yet. It can already have dates, a name, a short name and linked backlog work. Future PIs appear with a dashed outline and a FUTURE chip. |
Short name | A short code for a PI, such as PI-7. The backlog's Quarter / PI column shows the short name, so it is worth setting one. |
Fiscal calendar | The calendar your company plans in: when the fiscal year starts, what quarters are called, and so on. The roadmap's quarter columns and every quarter label follow it. |
2. Opening the roadmap
You can open the Quarterly Roadmap at organisation level when you want a portfolio-wide view, or from a collection when you want to focus on one planning cadence.
You can reach the roadmap from several places:
From | How | What opens |
Main navigation | Click Quarterly Roadmap (route icon) in the organisation navigation, just below the organisation entry. | All Collections view. |
Org View | Under Navigation, click Quarterly Roadmap (next to Org View – Tree and Org View – List). | All Collections view. |
A collection | Open the collection, go to Configuration, then click the green Quarterly Roadmap tab next to About. | By Collection view of that collection. |
Program Boards listing | Click a row whose state is Future. | By Collection view of that collection. |
Backlog | Click a dashed future-PI chip in the Quarter / PI column. | The roadmap in a new browser tab. |
Backlog Learn guide | Open Learn on the backlog, go to the Quarterly Roadmap chapter and click Open Quarterly Roadmap. | The roadmap. |
While the roadmap is open it uses the full width of the page. The collection's left navigation is hidden and comes back when you leave. To go back, use the ‹ button or the Quarterly Roadmap title in the top-left corner; both take you to the page you came from.
3. The toolbar
The toolbar runs along the top of the page. Some controls only appear in one view.
Control | View | What it does |
Quarterly Roadmap | Both | Goes back to the page you came from. |
All Collections / By Collection | Both | Switches between the organisation-wide view and a single collection's view. |
Expand all / Collapse all (double-chevron buttons) | All Collections | Opens or closes every collection-type group. |
Collection picker | By Collection | Chooses which collection to show. Type to search. |
Focus (target icon) | All Collections | Chooses which collections are shown. Reads All collections, or Focus · 4/12 when some are hidden. The button turns green while a focus is active. |
State filter | Both | All states, one board state (such as Tracking), or Future for future PIs only. Only states that exist in your data are offered. |
Types | All Collections | Shows only the collection types you tick. Nothing ticked means all types. A count badge shows how many are ticked. |
Year range (‹ 2026 – 2028 ›) | All Collections | The years on screen. The arrows move the range one year earlier or later. |
TODAY +3Y | All Collections | Resets the range to this year plus the next two (three years). |
+ New PI | Both | Creates a future PI. See Planning future periods. |
Settings (gear) | Both | Terminology and fiscal calendar. See Settings. |
If a save fails, a short red message appears in the toolbar for a few seconds and the change is undone.
4. All Collections view
Use this view to understand who is planning what, and when across the organisation.
Layout
Header. Three rows: the fiscal year (for example FY26, or 2026 on a calendar-year basis), the quarters in that year, and the months inside each quarter. The current year, quarter and month are highlighted, and the current year carries a NOW tag.
Groups. Collections are grouped by collection type. Each group header shows the type name and how many collections it holds (for example 3 collections, or 2 of 3 collections when focus hides some). Click a group header to collapse or expand it.
Rows. One row per collection that has at least one PI. The left side shows the collection's initials, its name and a summary such as 5 PIs · 1 undated. The collection name is a link that opens the collection.
Today line. A vertical line marks today. When the page opens, the timeline scrolls so today is in view.
Bars. Each PI is a bar placed on its real start and end days. When PIs in the same collection overlap, they stack on separate lanes so nothing hides behind anything else.
The summary counts on the left always count all of a collection's PIs, even ones outside the years on screen. PIs without dates never show as bars here; use the By Collection view to give them dates.
Choosing the years
Click the year range label to open the picker:
FIRST YEAR SHOWN. Pick the first year (from six years back to eight years ahead). The current year has a small dot.
YEARS SHOWN. Pick how many years to show, from 1Y to 6Y.
The footer summarises the choice, for example 12 quarters · 2026 → 2028. Click Apply to close.
Only quarters that start inside the chosen years are shown. A PI that starts before the range or ends after it is drawn cut off at the edge, with a square end showing it continues.
Focusing on some collections
Click Focus to open FOCUS COLLECTIONS:
The list shows your collections as a tree (parent collections with their child collections underneath), with each one's PI count.
Tick or untick a collection to show or hide it. Ticking a parent ticks everything under it; a half-filled box means only some children are ticked.
ALL shows every collection; NONE clears the selection.
Use the search box to find a collection by name, and the expand/collapse buttons to open or close the whole tree.
Click Apply to close. The footer shows how many collections are shown, for example 4 of 12 collections shown.
If you untick everything, the page shows No collections in focus with a Show all collections button.
New collections are included automatically as long as you have not picked an explicit selection.
5. By Collection view
Use this view to understand one collection's planning cadence across fiscal years, including past, current and future PIs.
Pick the collection with the picker in the toolbar (type to search). The list contains collections with at least one PI, plus the collection you opened the roadmap from, even if it has none yet.
Rows are fiscal years. Each row is one fiscal year of the collection's own fiscal calendar, with 12 month columns starting at the fiscal year's first month. The header shows the quarter names and months. The row for the current fiscal year is tinted green and has a today line.
Row labels show the year (for example FY26) and how many PIs fall in it.
PIs that cross a year boundary appear in both rows, with a square end on the side where they continue and a MULTI-YEAR chip.
Bars show more detail than in the organisation view: the dates (for example 1 Oct – 31 Dec 26) and the fiscal label (for example Q4 FY26).
The band above the rows shows the collection name and a note such as program increments by year · 2 without dates.
PIs without dates
PIs that have no dates, or whose end date is not after the start date, are listed in a No dates row at the bottom. Each one has a SET DATES → button that opens the details panel so you can enter dates. Once saved, the PI moves into its year row.
6. Reading a PI bar
Part | Meaning |
Coloured edge | The PI's colour. By default it follows the collection's colour; you can pick a different one in the details panel. The same colour is used wherever the PI's chip appears in Kendis. |
Name | The PI name, with the short name in brackets when it differs, for example Increment 7 (PI-7). |
Dates line | The date range or the fiscal label, depending on the space available. |
White bar, solid border | A PI board. |
Lilac bar, dashed border, FUTURE chip | A future PI (no board yet). |
Square end | The PI continues beyond the edge of the view (outside the year range, or into the next fiscal year). |
Short bars. When the name does not fit inside the bar, the roadmap shows it to the right of the bar if there is room, keeps just the short code inside the bar if not, or wraps the name over up to three lines. Other bars on that row move to a new lane so labels never overlap. Hover a bar showing only its short code to see the full name.
Click a bar (without dragging) to open its details panel.
7. Changing PI dates
Use the roadmap to adjust planning dates without opening each board individually. You can change the dates of any PI you have edit access to, including existing PI Boards and future PIs. There are three ways.
Drag on the timeline
Move: drag the middle of a bar left or right. Both dates move together.
Resize: drag the left or right edge of a bar to change only the start or only the end.
Dates snap to whole days. A PI can't be shorter than 7 days.
When you let go, a Change PI dates window shows the NOW and NEW dates side by side. Click Save change to keep it, or Cancel to snap the bar back.
Type the dates
Open the details panel, click EDIT, and change Start or End. Each change saves immediately. The end date must be after the start date.
Pick a quarter
In the details panel's edit mode, open Quarter and pick a fiscal quarter. Both dates are set to that quarter's first and last day and saved in one go. The list is searchable and shows each quarter's dates. If the PI's dates don't match a whole quarter, the field reads Custom — set dates below.
After any date change the fiscal label (Spans) is recalculated. For a PI Board, the new dates are saved to the board itself.
8. The PI details panel
The details panel is the fastest way to review or update a planning period without leaving the roadmap. Click a bar, or a chip in the No dates row, to open it on the right.
Header
The PI name, the collection, and the short name (if set). A future PI without a short name shows a + SHORT NAME link.
EDIT / VIEW switches between read-only and editable fields.
× closes the panel. Done at the bottom does the same.
View mode (default)
Shows Start, End, Duration (in weeks), Spans (the fiscal label, for example Q3 → Q4 FY26) and Color. The CHANGE PERIOD OR NAME link switches to edit mode.
Edit mode
Field | PI board | Future PI |
Name | Not editable here (rename it on the board). | Editable, up to 100 characters. |
Short name | Not editable here. | Editable, up to 30 characters. This is what the backlog's Quarter / PI column shows. Leave it empty to remove it. |
Collection | Shown, not editable. | Pick another collection to move the future PI there. Its fiscal label is recalculated with the new collection's calendar. |
Color | Pick one of seven colours. | Pick one of seven colours. |
Quarter | Pick a fiscal quarter to set both dates. | Pick a fiscal quarter to set both dates. |
Start / End | Editable. | Editable. |
Name, short name and collection changes save when you leave the field (or press Enter). Colour and date changes save straight away.
For a PI Board
A PI BOARD card explains that the PI has a planning board, with a View board button.
Open board ↗ at the bottom opens the board in a new tab.
The note at the bottom reminds you that dates save to the board immediately, and that name, teams and sprints are managed on the board.
For a future PI
A PLACEHOLDER · NO BOARD YET card shows how many backlog items are tagged to the PI and, when relevant, how many are waiting in the ALM import queue. It has the Set up PI board button.
Linked scope shows two tiles: Tagged items and Story points (the total). Click the tile or SHOW ITEMS to list them. Each row shows the item's type icon, key, title, teams, points and status.
Click the key to open the item in Jira or Azure DevOps. Kendis-only items open the Kendis item card.
Click the title to open the Kendis item card.
Up to 300 items are listed; if there are more, the list says so.
Delete placeholder removes the future PI.
9. Planning future periods
A future PI represents an upcoming planning period before a board has been created. This lets you establish the timing early, align work to the period, and prepare scope before teams, sprints or the planning board are set up.
Create a future planning period
Click + New PI in the toolbar.
Collection. Defaults to the collection you're viewing. Type to search for another one.
Name and Short name. Prefilled with the next name in the collection's sequence. For example, if the last PI is Increment 7 (PI-7), the suggestion is Increment 8 (PI-8). Names already in use are skipped.
Cadence. Choose how to set the dates:
Next in cadence · 13 weeks (the default) follows the collection's rhythm. The start comes after the last PI ends, with the usual gap between PIs, and the length matches the usual PI length. If the collection has no dated PIs yet, the next calendar quarter is suggested.
A fiscal quarter from the list sets the dates to that quarter.
Custom — set dates below lets you type your own dates.
Start and End. Adjust if needed. You can also leave both empty and set them later.
FISCAL SPAN shows the fiscal quarter the dates fall in, for example Q2 FY27, or Q2 FY27 → Q3 FY27 when they cross quarters.
Click Create PI.
The future PI appears on the roadmap straight away with a dashed outline. It also appears on the collection's Program Boards listing with the state Future.
Want a full board right now instead? Click Open the board wizard in the same window. It opens the Create PI Board wizard with the collection and the name you typed already filled in. This creates a real board straight away and does not create a future PI.
Edit a future planning period
Open it and click EDIT. You can rename it, change its short name, move it to another collection, change its colour and change its dates. See The PI details panel.
Delete a future planning period
In the details panel click Delete placeholder, then click Confirm delete? within four seconds. Deleting removes the future PI and its tags from every backlog item. The items themselves stay in the backlog. PI Boards can't be deleted from the roadmap.
10. Assigning backlog work to a planning period
You can assign backlog work to a planning period before or after its board exists. In the default terminology, this is done from the backlog's Quarter / PI column and works for both future PIs and existing PI Boards.
Which items can be tagged
The PI part of the column appears only on items at the hierarchy level marked Mark as Feature in PI Board in the collection's item hierarchy setup (typically Feature). Only one level can carry this setting. Items at other levels show only the quarter part.
The Quarter / PI column
Left half, Quarter. Pick a year, half-year or quarter from your fiscal calendar. Picking a period also sets the item's start and end dates to that period.
Right half, PI. Shows the PI chip:
When an item is on several PIs, the chip shows the most relevant one: a PI running today, else the next one coming up, else the most recent one, else an undated one. The rest are behind a +N chip that opens the full list.
A PI board chip opens the board in a new tab.
A dashed chip is a future PI; it opens the roadmap in a new tab.
Hover a chip to see the PI's full name and collection.
Chevron. Opens the PI picker:
It lists the PIs of this collection and its related (parent and child) collections, with future PIs first.
Future PIs show their fiscal label and dates and a Future badge.
Type two or more characters to search all the PIs you can see.
Click a PI to add the item to it; click again to remove it. An item can be on several PIs.
Click Done to close.
Tagging many items at once
Select items in the backlog and use the bulk action Assign PI. Items at other hierarchy levels are skipped, and the confirmation tells you how many. Items already on that PI are skipped too.
11. Turning a future planning period into a PI Board
When detailed planning is ready to begin, turn the future planning period into a real PI Board. The planned context carries forward so you do not have to recreate the period or reassign its backlog scope.
Open the future PI on the roadmap.
In the PLACEHOLDER · NO BOARD YET card, click Set up PI board.
Jira and Kendis collections: the Create PI Board wizard opens with:
the PI name filled in;
the collection set to the future PI's collection;
the start date set to the future PI's planned start. The wizard walks you through teams, sprints and the rest of the board setup.
Azure DevOps collections: the Azure DevOps board creation dialog opens with the PI name filled in.
When the board is created:
every backlog item tagged to the future PI moves onto the new board;
items waiting in the ALM import queue for the future PI move to the new board's queue;
the future PI is retired, and the new board takes its place on the roadmap and in the backlog chips. During creation the progress screen shows a Placing the board on the PI roadmap step.
The Set up PI board button only appears if you are allowed to create boards in that collection. The board wizard still checks your permissions as usual.
If the future PI can't be retired, the board is still created and opens after a few seconds. A message asks you to delete the leftover future PI from the roadmap yourself.
12. Settings: terminology and fiscal calendar
Click the gear at the right end of the toolbar.
Terminology
Every user can see the current wording. Only a super admin can change it (others see Only a super admin can change the terminology.).
Click Edit to change any of the five names:
Setting | Used for | Default |
Name for this page | The roadmap's title and its entry in the navigation. | Quarterly Roadmap |
Name for a PI | Wherever a single increment is named, such as + New PI and the backlog's Quarter / PI column. | PI |
Name for several PIs | Counts such as 3 PIs. Set it yourself if the plural is irregular. | PIs |
Name for a board | Wherever a single planning board is named, such as the backlog column and the board picker. | PI Board |
Name for several boards | Wherever several boards are listed, such as the boards page and dependency filters. | PI Boards |
Each name can be up to 40 characters, and none can be empty.
Typing a new PI name suggests the plural and the board names for you, unless you've already written your own.
A preview line shows how buttons and counts will read.
Click Save to apply it for everyone.
The new wording appears on the roadmap, the organisation views, the backlog and the boards listing. The PI board screens themselves and the Solutions area keep saying PI.
Fiscal calendar (super admins)
The Fiscal Calendar section has a Set up fiscal calendars button. It opens the Fiscal Calendar administration page in a window over the roadmap, so you can set up calendars without leaving the page. The same page is also in the admin area under Fiscal Calendar.
A fiscal calendar defines:
whether years follow the calendar (January start) or a fiscal year starting in another month;
the year label (for example FY) and the names of halves and quarters;
the week start, work days and holidays;
which calendar is the organisation default.
Per collection. A collection can follow a calendar other than the default. Edit the collection, open the Configuration tab and pick a Fiscal Calendar. The empty choice, Default calendar, uses the organisation default. This choice drives the collection's quarter labels on the backlog, the PI Boards and the roadmap.
13. How fiscal labels are worked out
Kendis derives the fiscal labels shown on the roadmap from the planning period's dates and the collection's fiscal calendar. This includes the Spans value, bar labels, the quarter picker and the FISCAL SPAN hint.
Which calendar: the collection's own calendar if it has one, otherwise the organisation default, otherwise plain calendar quarters (January to March is Q1).
How precise: the label matches the length of the PI.
Up to about three months: a quarter, for example Q3 FY26.
Up to about six months: a half, for example H1 FY27.
Longer: a year, for example FY27 or 2026.
Crossing periods: a PI that crosses periods shows its first and last quarter, for example Q4 FY26 → Q1 FY27. The year is shown once when both ends are in the same year, for example Q1 → Q2 FY26.
Year names: a fiscal year is named after the year it starts in. With a fiscal year starting in April, April 2026 to March 2027 is FY26. Calendar-year calendars use plain years such as 2026.
Custom names: custom quarter and half names from the calendar are used when set.
The All Collections header uses the organisation's default calendar. Each By Collection view uses that collection's own calendar.
14. Sharing links and remembered choices
The address bar always holds a shareable link to what you see:
The All Collections view has its own link, for example https://yourcompany.kendis.io/org#/art/pi-roadmap.
Each collection's By Collection view has its own link, for example https://yourcompany.kendis.io/org#/art/ART-1/pi-roadmap.
Copy the address and send it. The recipient opens the same view and collection, provided they have access to it.
Kendis remembers your choices on your computer: the last collection, the state and type filters, the year range and your focus selection. When you come back, the roadmap opens as you left it. A shared link always wins over your remembered collection.
15. Who can do what
Action | Who |
See the roadmap | Everyone. Company admins see every collection. Other users see the collections they have been given access to (directly or through a group). |
Change PI dates and colours; create, edit, move and delete future PIs | Users with access to that collection. Moving a future PI needs access to both collections. |
Set up PI board from a future PI | Users allowed to create boards in that collection. |
Change terminology | Super admins only. |
Set up fiscal calendars | Super admins only. |
Choose a collection's fiscal calendar | Users who can edit the collection's configuration. |
16. Troubleshooting and FAQ
A collection is missing from All Collections. Only collections with at least one PI get a row. Check the Focus and Types filters too; the Focus button turns green while a focus hides collections. You also only see collections you have access to.
My PI isn't on the timeline.
Check the year range: only PIs that overlap the years on screen are drawn.
Check the state filter.
A PI without valid dates appears only in the No dates row of the By Collection view.
The quarter names look wrong. The labels follow the fiscal calendar. Check which calendar the collection uses (collection Configuration tab, Fiscal Calendar) and how that calendar is set up. The All Collections header always uses the organisation default calendar.
I can't drag a bar. You need access to the collection to change dates. If a save fails, the bar snaps back and a red message explains why.
I don't see Set up PI board. You need permission to create boards in that collection.
I set up a board from a future PI, but the future PI is still on the roadmap. The board was created, but the future PI couldn't be retired automatically (a message said so at the time). Open the future PI and click Delete placeholder.
What happens to tagged items if I delete a future PI? The items stay in the backlog; only their link to that future PI is removed.
Can I rename a PI Board from the roadmap? No. Rename it in the board's own settings. Only future PIs can be renamed on the roadmap.
Why does the backlog show "PI-8" instead of the full name? The backlog chip shows the PI's short name. Set or change it in the details panel (future PIs) or the board settings (PI Boards).
