Using Portfolio to Track Themes, Objectives, and Progress

This guide explains how to use the Portfolio workspace in Kendis to monitor themes, objectives, progress, and health using overview dashboards and analytics.

This guide continues from the Strategic Themes guide. After creating Strategic Themes, you can use Portfolios to group themes and monitor progress across initiatives.

While Strategic Themes help define individual initiatives, Portfolios provide a consolidated view of strategy execution across themes. They make it easier for leadership to monitor progress, identify risks, and analyse performance.

With Portfolios, teams can:

  • Organise multiple strategic themes into a single portfolio.

  • Track overall progress across initiatives.

  • Analyse execution performance at a higher level.

  • Generate AI-powered summaries using Charlie.

  • Visualise relationships between themes.

  • Monitor delivery trends over time.

Getting Started

Open Kendis.

Click OKR in the left sidebar.

The Themes workspace opens.

Click the Portfolios tab.

If our previous guide, we had an existing portfolio on our board. That’s why we simply linked our themes with it.

However, if no portfolio exists yet, the Portfolio section will be empty.

Click New Portfolio to create a new portfolio and link your themes.

1. Portfolio Workspace Overview

The Portfolios tab is the main workspace for managing portfolios of strategic themes.

It allows you to:

  • Create new portfolios.

  • View portfolio progress.

  • Group themes.

  • Generate AI summaries.

  • Open portfolio dashboards.

  • Analyse execution trends.

1.1 Creating a Portfolio from Workspace

To create a portfolio, you must have at least one existing Strategic Theme.

You can create a portfolio in two ways:

  • Click Create Portfolio button in the header.

  • Click the Create Portfolio card in the workspace.

Both options open the Create Portfolio window.

Basic Information

Enter the main details of the portfolio.

Configure the lifecycle state and time period of the portfolio.

Set the current status of your portfolio.

Time Period

Define the duration of the portfolio.

Start Date

Beginning of the portfolio timeline.

End Date

End of the portfolio timeline.

The selected time period is used in progress tracking, dashboards, and roadmap views.

Appearance

The Appearance section controls how the portfolio is displayed in the workspace.

Select the background color, text color, and pattern of your portfolio.

Use the preview to confirm that the colors and pattern are readable. Appearance settings help distinguish portfolios when multiple portfolios exist.

Associations

Associations define which themes belong to the portfolio.

  • Open the Themes dropdown.

  • Select one or more themes.

  • Select portfolio owner(s).

Only existing themes can be added.

Click Save. Your new Portfolio is created.

1.2 Portfolio Tab Overview

The Portfolios tab displays all portfolios created from Strategic Themes.

Each portfolio is shown as a card containing summary information about the themes linked to it.

From this workspace, you can:

  • Create new portfolios.

  • View portfolio progress.

  • Open portfolio details.

  • Track the number of themes.

  • See active initiatives.

  • Monitor overall progress.

  • Check portfolio time period.

1.3 Portfolio Detail Page

Click View Details on a portfolio card to open the portfolio detail page.

The header shows summary information about the portfolio and its themes.

This page provides a high-level view of progress across all themes linked to the portfolio.

Header Information

The header displays key metrics calculated from the associated themes inside the portfolio.

As you can see, the 2026 Digital Transformation Portfolio has a total of 6 associated themes, 38 objectives, 62 key results, and an overall progress of 27%.

These values update automatically when the theme progress changes.

2. Portfolio Navigation Tabs

The portfolio page contains multiple tabs for analysis.

You can switch between these tabs to analyse the portfolio from different perspectives.

2.1 Summary Tab

The Summary tab shows AI-generated insights and execution analysis.

Two views are available:

Click Generate or Regenerate to run Charlie AI.

Charlie analyses:

  • Progress vs time.

  • Value delivery.

  • Risks.

  • Delays.

  • Missing outcomes.

Portfolio Timeline

The timeline shows how the portfolio progresses across time periods. It highlights current quarter, elapsed time, expected progress, and actual progress. This helps identify if the portfolio is ahead or behind schedule.

Updates Button

Click Updates to view recent activity. Updates include theme changes, objective updates, key result changes, comments, and status updates. The counter shows the number of recent updates.

2.2 Dashboard Analytics (Overview Tab)

The Dashboard tab shows visual analytics.

Available charts:

  • Portfolio health.

  • Theme progress.

  • Objective distribution.

  • Team performance.

  • Trend charts.

These insights help leadership monitor execution.

2.3 Themes List View

This tab shows all themes inside the portfolio.

You can:

  • Open theme.

  • View progress.

  • Filter themes.

  • Sort themes.

  • Add or remove themes.

2.4 Tree View

The portfolio tree view extends the theme tree view to include the portfolio level at the root.

Hierarchy levels

Portfolio > Theme > Collection > Objective > Key Result.

The "Start from" dropdown includes Portfolio as an option (in addition to Theme and Collection), allowing you to visualise the full hierarchy from portfolio down to key results.

2.5 Progress Tracking

Progress Tracking displays how the theme's progress has changed over time.

Layout

Header: "Portfolio Progress Tracking" with subtitle

Interval selector: 6W, 8W, 12W, 16W, 6M, 1Y (shared across all theme cards)

Theme cards: One card per theme, each containing its own Progress Tracking chart and data table

Each theme card uses the same Progress Tracking component described in the Strategic Theme guide, allowing you to see progress trends for each theme side by side.

Using Portfolios in Practice

Portfolios provide a higher-level view of execution across multiple Strategic Themes.

By grouping themes into portfolios, organizations can:

  • Monitor strategy at scale

  • Track delivery across initiatives

  • Identify risks early

  • Generate leadership insights

  • Maintain alignment between strategy and execution

Strategic Themes define the work.

Portfolios show how all themes perform together.

Using both together gives a complete view of strategic execution in Kendis.
