AI Tokens Configuration & Allocation in Kendis

This AI Tokens Configuration guide outlines the technical workflow for administrators to enable, allocate, and monitor AI tokens. These tokens power Charlie AI, enabling intelligent features like automated objective generation, smart recommendations, and delivery insights.

Initial Activation and Setup

AI features must be activated at the board level before tokens can be managed or consumed.

  • Go to the main Settings menu on the left sidebar and select AI Tokens Configuration.

  • Here, you have to toggle the "Enable AI Capabilities" switch to On.

  • You must read and agree to the "AI Terms of Use (Version 1.0)".

  • Check the agreement box and click "Accept and Enable AI" to proceed to the management dashboard.

  • Upon activation, AI capabilities will be confirmed as enabled, allowing users to access Charlie AI assistance throughout the platform.

​​Initially, you may not see any tokens available. You must ask your organisation to allocate tokens to your company pool before they can be used.

Dashboard: High-Level Overview

The Dashboard tab is your command center for monitoring the organisation’s token economy.

  • Standard shortcuts allow you to jump directly to Allocate to Users, Allocate to Groups, or View Usage Reports.

  • Monitor the "free" pool provided by Kendis. View Total, Allocated, Used This Month, and Remaining Complementary Tokens.

  • Track resources your organisation has bought. View Total, Allocated, Used This Month, and Remaining Purchased Tokens.

  • Review the Monthly Usage Trend graph to visualise "Tokens consumed" against "Available tokens" over time. It helps predict future resource needs.

User Management: Granular Allocation

The User Management tab provides a detailed list of all users on the board and their current AI resource status.

Use toggles to segment the list by All Users, Allocated Users, or Not Allocated. You can also filter by group or search by name, email, or role.

Within the Actions column, you can perform three essential tasks:

Allocate: Assign a set number of tokens from the company pool to a user. The modal shows the New total allocation and the remaining Company pool available before you confirm.

Deallocate: Return tokens from a user to the organisation's pool. You can specify a reason for the return.

Transfer: Move tokens directly between users or groups. Select a Destination, enter the amount, and provide an optional reason.

Bulk Operations: Select multiple users via checkboxes to use Bulk Allocate or Bulk Deallocate for faster management of large teams.

Group Allocation: Team-Based Management

The Group Allocation tab allows you to manage AI resources at the functional team or department level.

View group names, descriptions, member counts, and current group usage statistics.

When clicking Allocate for a group, you can choose:

Equal Distribution: Enter a total amount to be divided equally among all members.

Custom Distribution: Manually assign specific token amounts to individual members within the group.

Like user management, groups can have tokens Allocated, Transferred, or you can view a list of all group Members.

Usage Monitoring: Detailed Analytics

The Usage Monitoring tab provides deep insights into how and where tokens are being consumed.

Key Metrics: Track Total Tokens Used, the Overall Usage Rate (percentage), and the number of Active Users.

Top Modules: Identify which platform features (e.g., PI Planning, Risk Register) are consuming the most tokens.

Detailed Usage Log: Review a line-item audit of every AI activity, filterable by date range (e.g., Today, Last 30 Days), user, group, or specific activity type.

Purchase and Payment Management

Kendis provides a self-service portal for scaling your AI capabilities as needed. Select from tiered options like the Starter Pack ($10 for 25,000 tokens) up to the Premium Pack ($250 for 625,000 tokens), or enter a custom dollar amount.

Enter secure credit card details, billing addresses, and VAT numbers. View your recent token purchases, transaction statuses, and download past invoices.

Audit Trail

The Audit Trail provides a historical record of all administrative token actions. You can view the exact date and time, the user involved, the specific action (e.g., ALLOCATE), the token count (e.g., +2,000), and any provided reasons. You can also download the entire audit trail via the Export Log button for internal reporting or compliance reviews.
