Charlie AI on the Collab Board: Templates, Summaries, and Smarter Notes

Learn how to use Charlie AI in the Kendis Collab Board. Generate custom board templates, get instant board summaries, and refine sticky notes with a single click.

Charlie AI is now integrated directly into the Kendis Collab Board to help you structure, analyse, and refine your work using three core capabilities:

  • Generate Templates on the Fly: Create board structures and sample notes using simple text prompts.

  • Get AI Summaries & Retrospectives: Analyse your entire board to instantly generate reports, identify risks, and track team health.

  • Refine Sticky Notes: Improve the clarity, tone, and length of individual notes with a single click.

This guide explains how to use each capability and apply Charlie AI effectively in your day-to-day Collab Board workflow.

1. Generate Templates on the Fly

The AI Template Builder eliminates the need to manually create columns and categories. You can generate entire board structures populated with sample content based on your specific use case.

How to use AI Template Builder?

Open the Charlie AI Template Builder on your board.

Describe your specific requirements. In the prompt box, type exactly what you need to create.

Here, we want to create a complete strategic template for our collab board. This is the most suitable prompt for it: “Create a 4-column Strategic Planning template: Pillar, Objective, Key Result, and Risk Level.”

Charlie populates the new columns with sample stickies. This helps you see if the structure works for your data before you finalise it.

If you need changes (e.g., specific colors or more columns), use the "Want something different?" field to refine the result. Once satisfied, click Apply to Board.

2. Get Instant Summaries & Insights

AI Summaries help you understand the overall state of your Collab Board without manually reviewing every note. Charlie analyzes all board content to identify patterns, risks, and progress trends.

How to Use?

To start, click the AI Analysis button on your Collab Board. You will see three tabs:

A. Retrospective Tab

The Retrospective tab provides a narrative view of team progress, including:

  • Team health indicators.

  • Progress trends.

  • Key challenges and risks.

Here you can see the report highlights measurable security outcomes and flags high-risk exposures like "credential-stuffing attacks."

B. One-Click Executive Summary

This provides a high-level "Executive Overview" perfect for leadership updates.

Steps

  • Open AI Analysis.

  • Go to the Summary tab.

  • Provide additional context or simply click Start Analysis.

  • Review the generated report.

  • Copy it into your leadership update or planning document.

What the Summary Includes?

Executive Overview: Overall progress and major concerns.

Key Themes: Patterns across teams (e.g., delays, blockers).

Positive Highlights: Wins and completed work.

Best Practices

Run the summary before Scrum of Scrums.

Use it before PI Planning meetings.

Share it with leadership instead of manual reports.

C. Ask the Board Anything

This allows you to query your board for specific insights.

Steps

Go to the Custom tab.

Type a question.

Example Query: Review all notes and list any security pillars that currently lack a defined key result.

Use specific questions for better results.

Every AI report has an Add to Board button. Use this to save insights as cards, track risks directly on the board, and keep summaries visible during planning.

3. Rewrite & Improve Notes

This option can be used to quickly clean up or improve any note on your board.

Steps

  • Click on any sticky note on your board.

  • Select the Charlie AI icon from the item menu.

  • Choose one of the following options:

  • Rewrite for clarity: Simplifies technical jargon and fixes grammar or spelling errors.

  • Change tone: Adjust the style to be Assertive (for urgent blockers) or Diplomatic (for feedback).

  • Summarise: Converts long updates into a single clear sentence.

  • Custom prompt: Give specific instructions, such as "Turn this into a 3-step action plan".

To keep your Collab Board clean and actionable, consider this workflow:

Use the Template Builder to set up your board.

Add your notes and use Rewrite tools to ensure clarity.

Use Board Analysis to generate summaries and identify risks.
